Sales Portal 1.2.8 Feb 2009

New Features highlights

  • Maintenance over Data Migration options and Data Migration Tables added

      Outbound Emails to Prospects

      • Sales Portal can now easily send outbound emails to prospects via interfaces to Order Portal

      • Here is a summary of the changes
        1. In Order Portal - You can now manually delete/remove an entry in the Email subscribers table
        2. In Order Portal - Draft Emails are now linked to a webprofile. They use the from email and smtp settings from that profile
        3. In Order Portal - Draft Emails send to any email in the Email Queue table (a new table)
        4. In Order Portal - You can select from the Email Subsriptions and the customer table to build your list in the Email Queue
        5. In Order Portal - You can now manually import a list of email addresses to send Emails to
        6. When you create a CSV file from the work with prospects screen you can now manually import it into Order Portal for sending of Emails
        7. There are currently 2 forms of automated email interface
          1. From work with prospects screen there is a new option to send Emails
          2. In admin there is a new Email Sales Actions that allows you to define a prospect group, date and email to be sent
        8. There is an automated interface between Sales Portal and Order Portal for importing prospects into the Email Queue and automatically sending Emails
          1. This is part of the base Web Business Suite logic. Web Business Suite consists of:
            1. Sales Portal
            2. Order Portal
            3. Information Portal for Order Portal and Information Portal for Sales Portal
            4. Data Migration Portal
            5. Forum. (We normally use jForum)

      Import Changes

      • Additional help text has been added to the import screen
      • There is an added option that determines whether Sales Portal checks for duplicates as it imports or creates a prospect for every record
      • Territory - you can now use territory id as well territory name
      • Status code - you can now use status id as well status name

      Data Migration Portal

      • The data base scripts for Data Migration Portal are now included in the Sales Portal database
      • the Data Migration Portal options for prospect importing are now available on the Configuration menu under Data Migration Options

      Prospect Search Changes (work with prospects screen)

      • You can search on email
      • You can search on phone number
      • You can search against contacts by name or phone number
      • You can search on prospect last change date, either exact match or from this date forware
      • Prospect change date is updated when:
        1. Add or update a Prospect Note
        2. Add or update a Prospect Contact
        3. Add or update a Prospect Sales Action
        4. Add or update a Prospect Campaign

      Sales Portal 1.2.7 (Oct 2008)

      Sales Portal 1.2.7 has numerous bug fixes and upgrades

      Here is a list of bug fixes:

      • bug 966 : add creation date to propect sales action

        You will see this in the db. We have moved this in to keep track of salesmen activity.

      • Bug 932 : ability to view closed sales actions

        When you close a sales action, you will be able to review on the prospect screen.

      • Bug 880 : should not delete sales action if belongs to prospect

        We had an issue where admin users were able to delete sales actions, which on the prospect screen would return a blank sales action. Instead of deleting all prospect sales actions when deleting a sales action, we put a check and are forcing the admin user to remove the sales actions from the prospect before deleting.

      • bug 758 : print prospect lists uses old headings

        This required a new ireport change. Now uses the same headings as the search results screen.

      • bug 1041 : size of characters left box too small

        There was a small issue with the characters left box. On the note screen it wasnt large enough to see all numbers. Example: would see 200 instead of 2000.

      • bug 946 : make color on sales actions optional

        After review, we felt it not necessary to require a color when creating a sales action. Although having a color there as an option is still very useful. So, disabled the requirement check. Can create sales actions without selecting a color.

      • bug 935 : search screen by email

        Added the email box on search screen. You can now search by a primary email address.

      • bug 947 : losing yes/no on mandatory date when updating

        mandatory date was being saved, just not being displayed right on the sales action maintenance screens. This is now fixed.

      • bug 778 : add description to campaign

        Added a description box on campaign maintenance screens. It takes upto 200 characters.

      • bug 1019 : Prospect Campaign - need to indicate if campaign is completed

        We noticed that when viewing the prospect screen, the campaign information was minimal at best. We wanted to give the user a little more information, so now when on the prospect screen, the associated campaign includes

        • Name
        • Description(*recently added)
        • Completed Status(changes to Completed when all sales actions have been completed)
        • Actions Remaining(actions left in to complete campaign)
        • Total Actions(Total Actions in campaign)
      • bug 1107 : auto fill date with todays date everywhere date is entered

        Wanted to add default date to entry screens. Defaulted to the current date

      • Bug 1011 : Sales actions - instead of deleting, add active/inactive flag

        We now do not delete sales actions from database, instead we change a status to deleted. This will help keep track of salesman/saleswoman activity. Included is changed date and who changed the sales action.

      • Bug 1031 : Move min and max connections into Appconfig
      • Bug 1040 : campaign not working right on import

        We found an issue in the past when trying to assign a campaign to a list of prospects we were trying to import. This is now resolved. Simply enter the campaign id you would like to assign to the corresponding prospect and it will attach all campaign sales actions and default the sales action date to the import date, priority set to 1.

      • Bug 966 : add creation date to sales action

        We now keep track of when a prospect sales action is created, changed and deleted.


      Release 1.2.6

      1. We had a customer report that periodically sales actions would disappear. We believe we have tracked this down to the Delete Prospect(right X) where it also deletes all linked objects. The delete method for Prospect Sales Actions did not force criteria (prospect or sales action id) to be present. We have fixed this. Also we gone into every delete method and made sure there will always be selection criteria for a delete. We have added junit tests for all the delete methods.
      2. Issues with Prospect Update when using the back button. We found a problem with updating a prospect when you use the back button. If you do a search and then are using the previous and next buttons to move from prospect to prospect, if you use the browser back button and then update a prospect, the Sales Portal is still holding the data from the first prospect and then updates the 2nd prospect with the data from the first prospect. We are looking for a javascript to disable the browser back button for those screens,but for now, we have added in red a warning not to use the back button and made the previous and next buttons large and more promenent.
      3. Today's actions. We are really excited about this one. There is a new menu option, Today's Actions. It contains a list of all your Sales Actions scheduled for today. If you add new sales actions, they will automatically add to the list. If you complete a sales action or change the date it will automatically be removed from the list. At the top of Today's Sales actions is a link for Popup. When you click this you will get a pop up page with Today's Sales Actions. If you shut down your Sales Portal, the Popup Page will stay open. We have added a sound wav to the popup and in admin there is an option for when to sound the Alert. So you can set Sales Portal to sound a gong (yes, our favorite) every 10 minutes before a sales action is due.

      4. Prospect Sales Actions. We have add date created (timestamp) and user, as well as last change date and user. This will be used in Infoportal reporting.

      5. Completed Sales Actions. Completed Sales Actions can now be viewed on the Prospect screen. If the prospect has completed sales actions, a link will display. Click on the link to display the completed sales actions.

      6. Deleting Sales Actions. Deleting a Prospect Sales Action no longer removes it from the data base. The Sales Action is still in the data base with the action_status changed. 0=active, 1= completed, 2=deleted.
      7. Search for duplicates logic added. When you are signed in as admin, at the bottom of the Work with Prospects screen there is a Search for Duplicates button. You can select Company Name, Contact Name, Phone Number and Email. When you press the Search Button, the system displays all potential duplicates it has identified. Review the list and remove the real duplicates.
      8. Can't delete prospect if the user has limited view. If a Salesman is setup with a limited view, the delete prospect buttons are not available to them. (Thats whats new) As a reminder, selecting the "Limit View" on Salesman creation also will disable the print, export to csv on the prospect search results screen.
      9. The User Guide, Admin Manual and Sales Portal Brochure have all been updated through release 1.2.6

      Release 1.2.5

      1. You can now assign multiple territories and statuses to a salesman
      2. You can now limit a salesman's view on a search
      3. Territory Change Timer - When creating/updating a territory, you can now assign a return territory and a return timer. With this information, when a prospect changes territories, the timer checks to see if it needs to be changed back An example of how it is used - You have a list of prospects that are open to all salesmen. Each salesman has their own working territory and customer territory. You want to manage your sales process and encourage your salesmen to close their business so you set their working territories to have a return territory of 30 days. So this means, when a prospect is put into the salesman's working territory, he/she has 30 days to close. If they do not, the prospect gets put back into the main prospect pool or the territory you specify in the return territory.
      4. Randomize a territory search. There is now a check box that you can set to Randomize the prospect search results so they display in random sequence instead of alphabetical.
      5. When you set to randomize, you can also set a max number of prospects to display in the search
      6. Work with Prospect Changes - Search by multiple Territories & Search by multiple Statuses
      7. Calendar Search - Search by multiple Territories & Search by multiple Statuses
      8. Prospect Screen - Added a date field you can use at will

      Bug Fixes

      1. Bug # 840 - Calendar - allow selection of multiple territories
      2. Bug # 927 - error when canceling adding a note, document, website, etc on the update prospect screen. If you opened to add any of these then canceled the process, then clicked to Update the prospect, sales portal would take you to the insert screen for the item you clicked to add.

      Release 1.2.4

      1. New Menu Option - New menu option "Reporting" is now part of SalesPOrtal. This link summarizes Information Portal, another projectavailable for download which is the reporting for Sales Portal.

        2. css updated and start of new "more information" links being created.These "More information" links will describe the screen that the useris on. Currently this has been done on the Update Campaign screen.

      Release 1.2.3

      Thanks to code contributions from Subnetworx and a bug list from BITT LIMITED we were able to release Sales Portal 1.2.3. Code Contributed:

      1. New Color Schema for Sales Actions - This new addition allows you to select a color to associate to a Sales Action. This color will display in all Calendar Views when Action is displayed
      2. Auto Weekly Calendar refresh - The weekly Calendar now refreshes on its own. You can change timer settings in the appConfig Default settings is at 30 seconds.
